General Procedures for Stand Chairpersons

Thank you for agreeing to, or for gathering more information to be, a stand chairman. Generally, you would be agreeing to chair a stand for one of the two days. Your primary responsibility is to staff your stand with enough workers for each shift. If you are having trouble finding enough people, your Games/Food Chairman will assist in finding the extra help.

1) If you are chairing the stand for only one of the three days, please contact the chairperson of the other day to coordinate activities such as set up/break down.

2) Based on last year’s activity, adjust the number and length of work shifts if needed. You may also need to adjust the number of workers required on each shift.

3) You are responsible for making sure all of the shifts have enough people to work. Though you do not have to be there personally all day, please make sure all of the workers are aware of their volunteer times and show up for their shift. All volunteers 18 and over encouraged to take “Protecting God’s Children” class.

4) Each stand must have adult supervision AT ALL TIMES.

6) Kirchenfest set up begins on Monday (the week before the festival weekend) at 6pm and continues every evening at the same time. Refreshments are served after work is completed each evening. Fried chicken is served on Thursday night when construction is complete. One of the stand chairpersons needs to be on hand Thursday night to help set up your stand. If you can not attend, please make sure the General/Food/Games Chairman is aware.

7) Cardboard for chicken/fish stand, chicken fryers, funnel cakes: put the cardboard “upside down” so that the ends do not curl up. Tape down on all sides. If you are a chairman Saturday or Sunday, you will need to lay new cardboard.

8) DO NOT pick up supplies on Thursday night from the garage. Pick up early Friday evening or Saturday morning.

9) Any last minute set up should be completed on Saturday morning. Stock your stand with supplies and be ready to open on time. Get your start up cash from Pat at the Kirchenfest headquarters in the Parish Center. Never send children to the headquarters with, or for, cash. Go yourself or if desperate, call one of the chairmen.

10) When you close the stand at the end of the day, return all money to the Kirchenfest headquarters. Check aprons and pockets. You do not need to count money or keep any for the next day start up.

11) On Saturday night, keep your stand open until 12:00am. Make sure everything is off the ground. If you have cardboard, PLEASE REMOVE IT AND THROW IT AWAY SATURDAY NIGHT. Make sure EVERYTHING is off of the ground. The Fire Department hoses down the grounds early Sunday morning. Anything left on the ground will get wet.

12) On Sunday night, keep your stand open until 8:30pm (or until a chairman let’s you know it is OK to close up early). Clean up stand, throw away cardboard, return supplies as best you can. Please clean all roasters, utensils, etc. before returning them to the garage. The only thing remaining should be the stand itself and any large equipment (i.e. tables, fryers, etc.)

13) It would be great to have help on MONDAY with clean up. We begin at 7am and continue until 10p. Help at any time is greatly appreciated. Lunch will be served to all workers at Noon.

14) During the weekend, please show your parish spirit by wearing any Kirchenfest or St. Paul clothing-and encourage your stand workers to do the same. Worker shirts will be made available soon.

Parishioner Information Bulletin——–Schedule of Event

Construction Week —– All help is needed and welcomed! There is work for ANY able-bodied person over the age of 12. Come together as a family to help set-up and also tear down. You don’t have to be a carpenter and no tools are needed. Help is primarily needed with set-up of the picnic tables and tents. When you arrive on the grounds, report to one of the big tents and just jump in and help.

Setup Week


Monday before Kirchenfest Weekend – 6:00 p.m.

Unload garage. Begin construction of tables for dining area. All construction supplies for the Kirchenfest are unloaded and sorted. All picnic tables will be assembled with screws. Bring screw guns if you have them.

Tuesday before Kirchenfest Weekend – 6:00p.m

Continue assembly of picnic tables. Begin construction of dance floors and stages. All picnic tables will be assembled with screws. Bring screw guns if you have them. When you arrive on the grounds, report to the NORTH TENT and start helping.

Wednesday before Kirchenfest Weekend – 6:00p.m.

Tonight we finish dance floors, stages and SOUTH TENT picnic tables. Bring hammers and screw guns if you have them. There is a lot of work to be accomplished and all help is appreciated. Start to assemble roofs and construct stands. Report to SOUTH TENT and start helping

Thursday before Kirchenfest Weekend – 6:00p.m.

Final Construction. Hang Banners and complete stands. Come out with your hammer and be part of a truly spectacular effort by the parish. Fried chicken and refreshments will be served to all workers AFTER Kirchenfest set-up is complete.Flea Market Pre-view Sale — $5.00 Admission

Clean-Up


Monday after Kirchenfest Weekend – 7:00a.m.

Begin clean-up. This is a big job and we need all the help we can get. Lunch will be provided for all workers at noon. Junior High Students are asked to help today. We also need adults to help supervise the students. Additional help will be needed Monday evening. Please help if you can!!

Tuesday after Kirchenfest Weekend – 6:30p.m.

Continue clean-up (if necessary)


Chicken Dinner
(1) Fresh whole tomatoes, suitable for slicing, are needed for the Chicken Dinner. If your garden has a surplus, please donate those you won’t need by delivering them to the Parish Center Cafeteria on Saturday or Sunday Morning, August 22 or 23.

(2) Each family is requested to bake two pies (no cream pies or refrigerated pies, please), which should be delivered to the east door of St. Paul Parish Center on Sunday morning, August 23. Runners will be available to take the pies from your car. NOTE: Some Sugar-free pies are requested.

(3) Dinner Tickets to be used for “gifts” are for sale at the Rectory. These tickets will still need to be turned in for a number at the Chicken Dinner Ticket Stand.

Country Store
(1) The following items sell well at the Country Store: Country Baskets; Fruit Baskets…..canned goods, home-grown vegetables, baked goods, jams and jellies, summer sausage, farm-fresh eggs, etc. and plants. All donations will be greatly appreciated.

(2) Please mark items accordingly: Kind of bread or cake, with or without nuts, name of plant and care instructions, etc. DO NOT PRICE.

(3) Please bring your items to the Country Store stand between 9:00 a.m. and 2:00 p.m. on Saturday and between 10:00 a.m. and 2:00 p.m. on Sunday. If it is difficult for you to walk to the stand, take your items to the Cake Drop-off Tent on Saturday or Pie Drop-off location on Sunday and we’ll take them to the stand.

Cake Stand
In order to continue to make this stand successful, we are requesting two cakes from each family. Wrap cakes well and mark the type/flavor on the plate. In order to make drop-off easier, cakes should be dropped off as follows:
Last names beginning with A to J…Deliver Saturday, 9:00 a.m. TO: Cake Drop-Off Tent — on Olive St. North of Broadway (behind the ATM) (Saturday only) or the Cake Stand

Last names beginning with K to Z…Deliver Sunday, 9:00 a.m. TO: Pie Drop Area or the Cake Stand

Auction/Flea Market
If you have an interesting item or service, consider donating it to the Kirchenfest. No item is too small. If you have an item to donate, please contact the following chairperson:

Flea Market—-Pick-ups can be arranged IF NEEDED by the disabled or elderly by calling the above numbers. All others must bring items to the Parish Center at designated times.

Raffle Tickets
The raffle tickets (car/cash, vacation, hog, steer & quilt) are still available in ample supply. Please do your best to sell these tickets. The success of the raffle depends on your support. Remember to turn in your full packet in order to be eligible for the $250.00 drawing by 5 pm on Friday, August 21.
All returns should be made to the raffle stand no later than 8:30 p.m. on Sunday, August 23.

“I Dood It” Game Prizes
A game for all ages – new items only…….gift certificates, games, toys, dolls, sports items, household items, crafts, or anything you might have that is new and want to donate as a prize. Items may be dropped off in the containers located at all the church entrances or the Parish Office.

Headquarters
General headquarters for the Kirchenfest will be located in the Parish Center Conference Room. A phone for EMERGENCY calls will be available at the Information Stand.

First Aid/Security
The Highland Police Department will have officers on duty on the grounds all weekend. If you need assistance, go to the Information Stand. Emergency medical treatment is available through the St. Joseph Hospital Emergency Room, located one block away from the Kirchenfest grounds. (Contact a chairperson if someone needs medical attention)

Security guards will be on duty Friday, Saturday, and Sunday nights.

Diaper Changing/Baby Nursing
The Relevant Pregnancy Options Center/Kirchenfest will again provide an area for guests to change their children’s diapers and/or nurse their babies.

Miscellaneous Items
(1) Parking – Since parking space is at a premium, if you live close to the Church, we suggest that you leave your car at home and walk to the grounds. Mater Dei students will not be able to park on the grounds during Construction Week.

(2) Policy on Free Handouts – Since this is a fund raising event for the parish, we insist on
a policy of NO free handouts. We realize that many of our parishioners work very hard and are deserving of free drinks or sandwiches, but it is hard to “draw the line” as to when free items are given. To avoid any conflict, we ask that you support this policy. (As previously noted, refreshments will be provided during the construction/clean-up periods.)

(3) Keep It Clean – The Kirchenfest has a reputation for maintaining clean grounds during the fest. Our trash pick-up crews do a wonderful job in keeping the trash barrels empty. We ask that you do your part and keep the area around your stand clean.

(4) Message to Workers –  Our Kirchenfest succeeds because of the impression we make on our visitors. It is important that we continue to be polite and courteous at all times to our guests. Wear a new Kirchen Crew, any Kirchenfest or St. Paul items you may have and display your Parish Spirit – it’s contagious–Name tags, if willing, especially in Chicken Dinner.
